Our office manages the bookings and actual gig operation for 3 bands. We book bands for all sorts of events. We have been in business for over 8 Years.
We want one central system that ties together our:
1) New Leads Database
2) Individual Gig Manager - Contract / Band Building / Band Information
3) Calendars
4) Emails (Gmail)
5) Task Manager
6) Accounting / Bookkeeping / Payroll.
We will provide as much information as we can to enable you to build the system with clarity. To name just a few…
1) Desired Basic Idea of Design/Layout
2) Desired Queries & Corresponding Input Data & Options (Drop-downs etc.)
3) Desired Tasks / Time-frame Task should happen.
4) Desired Email Wording Template & Sources to Pull From (Subject & Body)
5) Desired PDFs to be populated, saved, emailed etc.
We spend an inordinate amount of time breaking down all the steps of our operations and feel we have all (if not most) of our database & workflow information in a clear and concisely broken down manner that can allow us to be clear with what we need (avoiding back and forth with confusion) and allowing a quick turnaround with limited back and forth needed. (Obviously secure information such as passwords, bank accounts, ss#’s, we would input once system is built.
We need the ability to be able to easily update the “Static Data” (Ex. New Musician Entry, Pay, Addresses, Additional Venues.. Etc.) And even be able to tweak or create a new functionality of the system through our own IT people that will have access to the “Backend” of our system.
I have attached a number of Documents & Screenshots to help give a better picture of how we operate today, the issues & lack of ability of the current operation method as well as an in depth document (and trial VBA I created) to detail how the new system could/should function.
