I have an Access database that we use to input sales for a non-profit coffeehouse ministry. Since we use volunteers to do everything for the ministry, I would like to get this procedure done on our website so that it can be done from any location instead of one person having the access database to work with.
I have a small budget for this project but I think it should be simple since it is all based on Access data entry into tables, queries, and a couple of reports (one report but it has a sub-report on it).
I am open to other suggestions but I was thinking of converting the file to mySQL and having a simple web app handle the input and reports.
The database is attached and if you go to the Favorites, there is a list of operations that are performed. Some of these could be eliminated if using a program. Here is the overview of what they do:
1 - Enter Shift PLU data - This is where the user types in the Price Look Up Number and the quantity sold. This is done into a temporary table just to make data input easier. Only the PLU No and Qty are input and Step 4 appends those records along with other data (the sales date and info from the PLU table. I did it this way so that the date, shift, and price didn't have to be input for each line. We could input directly into the Sales table if the date & shift can be input just once and then 'carried over' into each record AND the price can be pulled from the PLU table and saved. The price is not totally necessary if this would put me over budget.
2 - Enter sales tax and paid outs. This is just a shortcut to input information into the SalesTotals table.
3 - Enter paid out receipts. This is just a shortcut to input information into the PaidOuts table.
4 - Print shift report and check totals. This is just a proofing report that prints the data to make sure it totals out correctly. This would be eliminated if information is input into the Sales table directly instead of using a temporary table and append query to put the data into Sales.
5 - Update Shift PLU to Sales Database. This is an append query that asks the user for Date and Shift and then appends each record from the temporary Shift table to the Sales table along with the price from the PLU table. This would be eliminated if sales are input directly into the Sales table.
6 - Clear temporary Shift data. This is an update query that deletes all records in the temporary Shift table. This would be eliminated if the sales information is input directly into the Sales table.
7 - Print Final Sales Report. This is a shortcut to the report that we would need as output (2009 Sales Report - Single Shift). It is based on a query of several tables to produce the output needed. If the subreport containing the PaidOut records is not possible, that might be OK . . but let me know up front.
All other reports and queries can be ignored. Thanks for your bid on this project.
