I need a very simple db/management system that allows me to forward emails from my inbox which will in turn create a database listing from the subject line, the from address, and the body of email as field in the database.
It can be a simple file with indexes on who and the company name.
note: this can be a stand alone application. For example, an extension of Outlook with an MS-Access dB on the back end. All of this can reside on a dedicated machine.
## Deliverables
Here are the steps I want my partners to be able to use:
1. Get an email from company X. Subject line can be anything, doesn't matter.
2. They forward the email to bizop@xxxxxx.
3. They change the subject line to just the name of the company.
4. They remove any attachments (they are ignored anyway).
5. They press the send key.
The email hits the contact system. It only accepts email from a specific set of domains and simply ignores all others. I can input the domains to accept email from.
1. The email is parsed into four 'fields': date, partner, company, information.
date = email time stamp
partner = the from email address
company = the subject line
information = the plain text version of the email body.
2. A look up is performed on the company name. If the name exists already, and automatic email is sent back with the text "company is already in contact with us" as body of the reply. With the next line being company name/partner data fields.
3. The process will then end. You do not create a second record or add anything to the record which exists. You just stop the process at this point.
4. If the look up is performed and there is no company record which exists, you create an automatic reply with the words "record successfully added" and the next line being company name/partner.
5. The process with then end.
The database has indexes on company name and partner.
The other email query requirements:
a. email to the dB with subject line:"query: company name". The auto reply is either a no company found or the company in db answer as above with company name and partner.
b. email to db with subject line: "list all" which gives an auto reply consisting of text based email showing company name/partner
c. email to db with subject line: list partner" which gives an auto reply consisting of a text based email showing just a particular partner's name and companies associated with him.

An update to the bid request. This project can be done as a stand alone email responder. By this I mean that I can/will set up a dedicated PC to run the application created. It can be an Outlook Plug-in with an MS-Access back end. This is fine. This does not have to be a web based service or hosted if it is easier to build as a stand alone applications/service. I control the email system and the PC so I can set anything up. The objectives remain the same.
