Mortgage Business Database MS Access 2010
Purpose
The primary purpose of this data base is to be able to enter a contact into the system and then take them from Lead Marketing to Close of Sale through the use of (automated if possible) templated task/action paths that I am able to copy and modify when needed. The database is for my use only.
Example-
Joe Smith has been entered as a Lead in the system.
Touch 1 Call
Touch 2 Send Item of Value
Touch 3 Call
Touch 4 Email
I call this “The Path” which I think in database terms is a “Campaign”. I have a Path for everything I do from “Have Not Met Leads” to after closing drip campaigns. Having said this, I should be able to create or copy a primary path and then modify it to meet the needs (action/task) of whatever goal I need to accomplish. I like the idea of drop down boxes where the label indicated will designate the path taken for the customer. I also like the idea of being able to hyperlink the tasks/actions so that for ex. If I need to send a letter a hyperlink to the letter template I have previously saved will populate with the customers info so that all I have to do is print of if I need to go to a website all I need to do is click the hyperlinked task/action.
Contacts
There are 2 types of contacts I need to accommodate. The Customer Contact and the Business or Support Contact.
1. For the customer contact, I need the ability to enter the contact basic info (name, phone, email…), assign a path, add quick entry notes (time stamped) and then associate them to one or multiple properties. The properties pages will then contain the rest of the info I need to complete my goal.
2. I have to work with supporting business’s or supporting groups that help me complete these mortgages. I need the ability to attach them to their parent company, categorize these people into their respective groups and then also assign/attach them to the one or multiple customers or properties that I/We am/are working with.
Reports
The opening page of this database should be the reports page. With this dashboard I would like to see reports showing me-
1. What business I have in my sales pipeline and what phase it’s in
2. How many contacts i’m entering weekly, monthly and yearly
3. Forcasted volume, monthly and yearly
4. Calculated From #3- my monthly commissions(this is tiered so it’d be cool to figure out the math behind this so the system could calculate automatically.)
5. Calls made vs. closed sales
6. Estimates sent vs. closed sales
7. Applications vs. closed sales
8. Average $ amount of loans for both Purchase and Refinance
9. Average days to close for both Purchase and Refinance
10. Ratio between Purchase and Refinance business
11. I’m sure there is more but we’ll work on that.
Resources
I need to be able to keep my hyperlinks categorized and in one spot so I can cut and past them to the appropriate place quickly when I’m building a client profile. Most of these will be a website or a doc template so pretty easy but I didn’t want to forget this one.
As stated, this will need to be MS Access 2010. There should be as little code as possible put into this as the company makes it a bit tough to get a file on the laptop. Currently email is my only option and that’s a bit sketchy so you’ll have to work with me on it. You’ll need to tell me how you work with these projects and what you need from me.
