After sale assistance bot using xml order list and WP plugin Gravity Forms

Hi my name is Dario and writing from Italy. I'm a little reseller of cellphone spare parts, I'm selling it on eBay, Amazon and website in the future. All the listings and orders are centralized thanks to bindCommerce. Anyway, I have a xml file with all the order of the last 30 days. The file is updated daily every 2 hours. This file, have the customer anagraphycs, orders detail like date, payment and shipping and one row for every product buyed from customer. Attached the xml file. I would all this information should be stored in one online database queryable by Gravity Forms. I would to create one website page where customer can found information about his order, ask information or request for a return. I would that for every order in the xml file will be created a url (short as much as possible) so I can give this url at every customer (every customer has his url) and it can autonomally have access to his order detail and ask to the system if his order was already shipped, or the shipping address registered, or ask for a return attaching a foto or video. I want to do all this last parts thanks to wp plugin called Gravity Forms and his conditional logic features. Example: of page: Hello Mr. ___ how can I help you? [] where is my order [] I want a return [] I want open a controversy "now if the customer chose the first option the next step will be different depending on shipping status in the xml file. So it can be :" Your order It's shippend in date xx/xx/xxxx you will receive it between yy/xx/xxxx and zz/xx/xxxx "or" Your order will be shipped before xx/xx/xxxx and yy/xx/xxxx. "If customer chose second option the page should show the rows of the products buyed so the customer could select the product want to return." [] product one, product name, price [] product two, product name, price "then thanks to Gravity Forms ask to the customer to attach some foto or video and send all to my email. With some form example created for me by some expert (like the example shown up) I think I will be able to do it myself developing new functions on the way. I have a host with Gravity Forms already installed. All database should be secure and protect the data of my customers.
